Fleet Coordinator - Mobile Mapping

You will be helping geospatial infrastructure professionals make informed, data-driven decisions. We are looking for a Fleet Coordinator in one of our Mobile Mapping Hubs in the Netherlands.
Function Purpose:
To coordinate and supervise the daily field operations of mobile mapping survey missions, ensuring optimal use of fleet resources, readiness of vehicles and equipment, and smooth execution by MoMa Operators in accordance with assigned project plans and compliance standards.
Function content:
The Fleet Coordinator is responsible for the operational readiness and real-time execution of mobile mapping missions. This includes assigning missions, allocating vehicles and equipment, briefing MoMa Operators, tracking mission execution, and resolving issues as they arise. The role serves as the first point of contact for field teams and ensures each mission runs safely, efficiently, and in compliance with internal processes and external regulations (e.g., road safety, GDPR). The role also handles mission reporting, kilometer tracking, and contributes to post-mission documentation and handover.
Position in Organization:
Reports to: Operations Manager (EUR / AME / ROW).
Collaborates with: Project Leads and Project Managers, MoMa Operators, Technical / Vehicle Maintenance Teams.
Result areas and responsibilities
- Assign and create daily missions, schedule vehicles and Operators, and align planning with delivery timelines and weather forecasts.
- Manage daily coordination, availability, and communication with MoMa drivers, ensuring clarity on assignments and expectations.
- Conduct or verify pre-mission checks.
- Brief MoMa Operators on routes, safety, and equipment handling.
- Monitor field activity, support issue resolution, and act as first contact for Operators during execution.
- Collect mission logs, metadata, and checklists.
- Manage data uploads/disks for transfer to the data warehouse.
- Maintain driven route logs, resolve pin issues, and report kilometers and driver hours (e.g., via Jira).
- Ensure vehicle readiness, report breakdowns, and coordinate technical maintenance.
- Assist with fuel and expense tracking; coordinate financial needs with Project Leads.
- Enforce road safety, GDPR, and internal compliance policies; identify recurring issues and suggest process improvements.
Requirements and qualifications
- MBO level of education or equivalent working experience.
- 2–3 years in fleet coordination, field operations, or logistics.
- Familiarity with GPS/GNSS tools, mobile mapping systems, or survey vehicles preferred.
- Experience supervising field staff or mobile teams.
- Awareness of road safety and regulatory compliance (e.g., GDPR).
- Proficiency in basic reporting tools (e.g., Excel, GPS apps, Jira).
- Fluent in English; regional/local language skills are a plus.
